Why use a bicycle rental agreement?

Bikes can come back with worn components, missing accessories, or damage that was already present at pickup. Recording the starting condition reduces disagreements later. A clear agreement also helps customers understand the agreed rental period, fees, and return arrangements.

What to consider including

  • Renter and rental provider details.
  • Bike type, brand, model, and identifying frame number where available.
  • Rental start and return times, pickup and return locations.
  • Fee, deposit if any, and any agreed late-return terms.
  • Included items such as helmets, locks, chargers, and keys.
  • Notes or photographs of the bike’s condition at handover.

A checklist to think through for your situation. It is not a list of clauses: the blank PDF’s own sections and lines are listed above.

Before handing over the bike

Check brakes, lights, tires, and any agreed accessories together. For e-bikes, consider recording charger details and battery condition. Agree on how a flat tire, breakdown, accident, or theft should be reported. Use a separate condition record or photographs if the rental is high-value.

FAQ

Questions

Can I use this for an e-bike?

It can be a starting point, but check that the terms cover the battery, charger, permitted use, and any special local requirements relevant to that vehicle.

Should I record the frame number?

If the bike has one, recording it helps identify the specific bike being rented, especially when several similar bicycles are in the same fleet.

Can I change the terms in the app?

You can clone a built-in template and edit its wording, fields, participant forms, and layout before creating an agreement. Check the result against your needs and applicable local rules.
