Free Camera & AV Equipment Rental Agreement (PDF)
Cameras, lenses, microphones, lights, and recorders are often rented as sets. A camera and AV equipment rental agreement can record exactly which items leave the studio or rental desk and when they should return.

Why use an equipment-specific agreement?
Small accessories may be expensive or easy to overlook. Two similar-looking lenses or recorders can have very different values. Itemized records and condition notes make the handover easier to verify and help prevent confusion about missing parts or existing faults.
What to consider including
- The owner and renter and their contact details.
- Equipment names, models, and serial numbers where available.
- Included lenses, mounts, batteries, memory cards, cables, cases, and chargers.
- Collection and return date, time, and location.
- Agreed hire fee, deposit if used, and return conditions.
- Existing marks, known faults, and photos of high-value items.
A checklist to think through for your situation. It is not a list of clauses: the blank PDF’s own sections and lines are listed above.
Before releasing the gear
Power on the equipment, check key functions, and confirm the accessory list with the renter. For a large kit, attach a separate item list. Decide how missing accessories, damage, or late returns will be assessed before anything leaves the premises.
Questions
Can one agreement cover several cameras and lenses?
Yes, as long as every item and included accessory is clearly identified. In Rental Agreements, items from your Catalog can be attached to an agreement and appear in its Items appendix.
Is a deposit enough to cover equipment damage?
Not necessarily. A deposit is only one part of the arrangement; the condition record, contract terms, and any insurance are separate considerations.
Can I sign an agreement without printing it?
Yes. Rental Agreements lets you complete an agreement and sign on your phone or request a signature by email. The recipient can review and sign in a browser without an account or app.
