Why use an event equipment agreement?
Events are time-sensitive, and items may be handled by organizers, venue staff, or third-party suppliers. Clear item lists and responsibilities can prevent confusion over who arranged delivery, who may set up equipment, and when collection is scheduled.
What to consider including
- Event date, delivery and collection times, and venue address.
- An itemized list with quantities, models, or identifying details.
- Included stands, cables, cases, power supplies, and accessories.
- Rental fees, any deposit, and agreed transport or setup charges.
- Responsibilities for installation, operation, and dismantling.
- Existing faults, missing parts, and condition at return.
A checklist to think through for your situation. It is not a list of clauses: the blank PDF’s own sections and lines are listed above.
At delivery and collection
Count items together and record packaging or flight cases. For sound, lighting, and powered equipment, confirm who is responsible for safe setup and operation. A photo or item appendix can be particularly valuable for multi-piece orders.
Questions
Can several equipment items be listed in one agreement?
Yes. An item list keeps quantities and accessories together, and Rental Agreements can attach items from your Catalog to an agreement.
What if the event finishes after the planned pickup time?
Decide in advance how schedule changes should be requested and whether extra time affects the agreed charges.
Can I sign an agreement without printing it?
Yes. Rental Agreements lets you complete an agreement and sign on your phone or request a signature by email. The recipient can review and sign in a browser without an account or app.
