Free Car Rental Agreement Template (PDF)
A private car rental or small vehicle hire operation benefits from clear written terms. A car rental agreement records the vehicle being handed over, who is allowed to drive it, how long the rental lasts, and what both sides expect at return.

Why use a car rental agreement?
Disagreements often involve existing damage, mileage, fuel level, late returns, or who was driving. Recording these details before departure makes the handover easier to understand. The agreement does not replace any mandatory insurance, vehicle documents, or legal requirements.
What to consider including
- Renter and rental provider information and the authorized driver or drivers.
- Make, model, registration plate, and vehicle identification where appropriate.
- Pickup and return locations, dates, and times.
- Price, deposit if used, mileage allowance, and agreed extra charges.
- Fuel or charging level and odometer readings at handover.
- Visible damage and photos or a separate vehicle condition report.
A checklist to think through for your situation. It is not a list of clauses: the blank PDF’s own sections and lines are listed above.
Before giving over the keys
Check the driver’s eligibility and any insurance conditions separately. Walk around the car together, record scratches or dents, and confirm how accidents, fines, breakdowns, and delays should be reported. Repeat the checks when the car is returned.
Questions
Can this template be used to rent a van?
It can be a starting point, but a van may need additional details such as payload, permitted drivers, and usage restrictions.
Should I attach photos of existing damage?
Photos taken at pickup and return can supplement the written description of the vehicle’s condition and help clarify later questions.
Is the PDF download the same thing as a signed agreement?
No. A blank PDF is a starting document. It is not a completed or signed rental agreement. Fill in the applicable details and obtain the required signatures before relying on it.
