Free Tool Rental Agreement Template (PDF)
Renting out a power drill, garden machine, pressure washer, or specialist tool should start with a clear record of what is provided. A tool rental agreement can document the equipment, relevant accessories, rental dates, and return expectations.

Why use a tool rental agreement?
Tools are used in demanding conditions and may come back with wear, missing parts, or performance problems. The owner and renter also need to understand any operating limits and responsibilities for consumables or fuel. The contract does not replace safety training, manufacturer instructions, or inspections required by law.
What to consider including
- Tool or machine type, brand, model, and serial number.
- Renter details and rental start and return times.
- Fee, deposit if any, and agreed late-return or damage terms.
- Blades, bits, batteries, chargers, guards, and other accessories.
- Existing damage, operating-hour reading if relevant, and condition notes.
- Instructions about intended use and any usage limitations.
A checklist to think through for your situation. It is not a list of clauses: the blank PDF’s own sections and lines are listed above.
Before the tool leaves
Test the tool’s basic operation where safe, count accessories, and point out known defects. For higher-risk machinery, confirm training, authorization, and protective-equipment requirements separately. Do not rely on a written signature as proof that equipment is safe.
Questions
Can I use the same template for hand tools and power tools?
Yes as a starting point, but powered or specialized equipment may need additional safety, service, and operating details.
Should I record hours of use?
If the machine has an hour meter and usage matters to the rental terms, record the reading at both handover and return.
Can I sign an agreement without printing it?
Yes. Rental Agreements lets you complete an agreement and sign on your phone or request a signature by email. The recipient can review and sign in a browser without an account or app.
