Free Venue Rental Agreement Template (PDF)
Renting a hall, studio, workshop room, or event space is often about more than the hours people spend inside. A venue rental agreement can record who has access, when setup and cleanup happen, and which areas or facilities are included.

Why use a venue rental agreement?
Misunderstandings may arise over occupancy, noise, access times, furniture, cleanup, or responsibility for equipment. Putting these arrangements in writing helps organizers and venue owners plan around the same expectations.
What to consider including
- Venue name, address, rooms or areas included, and capacity if relevant.
- Event purpose, rental date, setup time, event hours, and end time.
- Rental fee, deposit if relevant, and agreed extra services or charges.
- Access arrangements, keys, staff contacts, and restrictions.
- Included furniture, AV equipment, kitchens, or outdoor areas.
- Cleaning, waste removal, existing damage, and handback requirements.
A checklist to think through for your situation. It is not a list of clauses: the blank PDF’s own sections and lines are listed above.
Before the event
Walk through the venue and record any existing damage. Confirm who is responsible for setup, security, noise, and end-of-event checks. Permits, occupancy rules, alcohol or music restrictions, and insurance may apply separately; an agreement does not grant permission to ignore them.
Questions
Can I use this for a photography studio?
Yes as a starting point, especially if you list any studio equipment and the exact access hours.
What is the difference between venue rental and event equipment rental?
A venue agreement focuses on the space and access. Equipment rental focuses on individual items; the arrangements may require both.
Can I change the terms in the app?
You can clone a built-in template and edit its wording, fields, participant forms, and layout before creating an agreement. Check the result against your needs and applicable local rules.
